Welcome to Bulk Email Invoices (BEI)! In this quick start guide, you'll learn the essential functions of the app. We'll walk through sending invoices to three different companies - one with multiple contacts, one with a single contact, and one without any associated contacts, using only standalone email addresses. These varied scenarios will give you the knowledge to get up and running with BEI.

Important Notes

Throughout this tutorial, we recommend using your NetSuite sandbox account. If you don't have a sandbox, you can create the new customers and invoices in your production account, but be sure to delete them afterward.

Get Started in Minutes

Let's dive into the BEI setup and usage, following the scenarios we introduced earlier.
Set Up:

Install the SuiteApp: From the NetSuite Marketplace, install the Bulk Email Invoices app. You'll see the "INSTALL" button change to "INSTALLED" once it's set up.
Configure Parameters: Navigate to Setup > Company > General Preferences > Custom Preferences. Here, you can customize key BEI settings:

  • Email From: Customer or Invoice as the source. Selecting Customer will retrieve email addresses from the customer's record, while selecting Invoice will fetch email addresses directly from the invoice record.
  • Email Author: Select your own name (or the appropriate employee) as the "sender" of the BEI emails.
  • PDF Templates: The selected PDF template will be applied to invoices or credit memos when using the 'Merge PDF' functionality from the BEI screen.
  • Show Undelivered and Bounced Emails Count: Enable tracking for undelivered and bounced emails.
  • Important: "Allow BEI to use contact Emails" must be enabled for BEI to access the contact emails associated with that customer. Access this setting via Bulk Email Invoice Details subtab of the customer record.

BEI Set up

Bulk Email Invoices Screen Setup

The Bulk Email Invoices Screen Setup allows you to manage which filters appear on the BEI screen, including both standard and custom filters, making it easier to search and select invoices for emailing.

Navigation:  Bulk Email Invoices -> Actions -> Invoices Screen Setup

1. Screen Overview
The setup screen contains two main sections:
  • Standard Filters – Predefined filters for common invoice search options.
  • Custom Filters – User-defined filters for flexible invoice selection.
2. Standard Filters
These filters help quickly narrow down invoice results. Each filter has a Select checkbox:
  • Checked: Filter appears on the BEI screen
  • Unchecked: Filter is hidden
3. Custom Filters
Create multiple custom filters for more advanced invoice selection.

Supported Field Types:
  • Checkbox
  • Currency
  • Date
  • Multi-select
  • Select

Filter Configuration Options:

  • Field Type: Choose the field type.
  • Field Name: Select an invoice field to filter on.
  • Source: Applicable for Multi-select and Select field types; the source is automatically populated for standard fields and must be manually defined for custom fields.
  • Field Help: Optional description to explain the custom field.
  • Search Operator: Choose an operator based on field type.


The Premise  
You own a wholesale flower supply company, Orchids International. Your customers are flower shops, and you're sending out invoices/reminders/statements to them.

BEI Set up

Scenario 1: Blossom Boutique (Multiple Contacts)



Create a Customer:
For this scenario, create a customer called "Blossom Boutique". You may also use an existing test customer.

Create Contacts:
Blossom Boutique has three contacts -

  • Violet Green (President)
  • Lily Smith (Store Manager)
  • Basil Johnson (Warehouse Manager)
You can add these contacts on the customer record's Relationships subtab. Basil Johnson, the warehouse manager, does not need to be copied on invoices. In order to exclude Basil Johnson from receiving emails, enable the "Exclude contact from BEI" checkbox on the contact record.

Create invoices:

This Month: 3 flats of orchids (Invoice #321 in our example)

Last Month: 1 flat of orchids (Invoice  #322 in our example)

2 Months ago: 1 flat of orchids (Invoice  #323 in our example)

Send bulk emails using BEI

Navigate to Transactions -> Custom -> Bulk Email Invoices  to view the BEI Screen and select/modify fields as needed.
Select actions


Click “Search” to view results

All invoices are selected by default. Unselect invoices that you do not want to follow-up on: Click the ‘Process’ button and view results once processed by navigating to the ‘Invoices Emailed’ report, as shown in the image below.

Note: After invoices are queued, a confirmation message appears with the Request ID. You can track all submitted requests under the Reports section as shown in the image below.

Review sent invoices:

View the sent invoices at the bottom of the same Bulk Email Invoices page.

  • Notice that Basil Johnson has not been sent any emails since this contact was marked “Exclude contact from BEI”.

Now let's move on to the next scenario…

Scenario 2: Stems & Petals (Unique Position)

Create a Customer:
Stems & Petals

Create a Contacts:
Rose Estes, Owner

Create a Invoices:
This Month: 2 flats of orchids (Invoice # 324 in our example)
Send bulk emails using BEI :
Navigate to Bulk Email Invoices -> Actions -> Invoices to view the BEI Screen and select/modify fields as needed.

All invoices are selected by default. Unselect invoices that you do not want to follow-up on: Click the ‘Process’ button and view results once processed by navigating to the ‘Invoices Emailed’ report, as shown in the image below.

Scenario 3: The Flower Nook (Partial Payment)

Create a Customer:
The Flower Nook

Create Contacts:
Instead of creating a new customer record, directly add the following emails for this customer on the BEI screen using the ‘Recipients (Max of 10)’ field:
Navigate to Bulk Email Invoices -> Actions -> Invoices to view the BEI Screen.
  • Select From Date and To Date.
  • Click Search button.
  • Separate email addresses with a comma.

Navigate to Bulk Email Invoices -> Actions -> Invoices to view the BEI Screen and select/modify fields as needed.
